Thames Valley Housing Association Choose Email Archiving System to Address Data Capacity Challenges

Thames Valley Housing Association has chosen Archive One Policy from C2C to deliver a structure for storing and accessing crucial data in accordance with policy and regulations, while significantly reducing the mailbox storage overhead. The system has been installed on 250 mailboxes, across the Association’s three sites, based in London and Middlesex.

Adriaan Wepener, IT Technical Support Engineer at Thames Valley Housing Association said, “Before C2C our email Exchange store was much too big at 84 gigabytes so we needed to reduce this through archiving. Also, we didn’t want to archive to PST files as we wanted ongoing visibility of the archived email.”

Wepener added, “With Archive One, we are now able to control our files and tracking, accessing and managing email content is no longer a problem and the mailbox store size is back under our control. Archive One has given us huge benefits by reducing both costs and operational headaches associated with so much data. C2C’s software has proven to be easy to install and any permitted staff member familiar with Microsoft Exchange can administer it.”

Archive One works seamlessly with Thames Valley Housing Association’s Microsoft Exchange 2003 system. The flexibility of Archive One means that the Association can archive email to match many different needs. The archive policy engine can analyze email content by 46 differing criteria and when combined with conditions and values provides an almost limitless options for email discovery and archival. Archive One also supports the creation of multiple storage repositories. Copies of all archived emails can be archived into logically distinct repositories, such as organizing them annually.

Personal Storage Files (PSTs), that were previously hard to manage and represented a risk to e-policy enforcement, can now be archived and easily accessed. Capacity management is improved by archiving emails out of Exchange, dramatically improving the backup/restore times, while users still retain access to all their data. If a user accidentally deletes an email, Thames Valley staff can recover it from the archive.
